Preparation of villas/flats for new tenants occupation. This includes civil maintenance and renovation of older properties (civil maintenance, electrical, plumbing, A/C, flooring, painting, landscaping, etc). Obtaining signature of tenants on the apartment/villa hand over form.

Ø Supervise the securities, soft and hard services in the properties.

Ø Attending to repairs and maintenance. This is done mainly to the occupied properties, common grounds / areas with the compounds etc. (pool and club house, infrastructure, landscape)

Ø Supervision and following up with contractors. This is mainly general maintenance, landscape, swimming pool, gym, security, cleaning, fire fitting, fire alarm, pest control, barriers, access doors, cradles, etc.

Ø Meeting the tenants to ensure that the service is up to the required standards. Inspect each properties minimum once in a week and assisting in the preparation of monthly reports.

Ø 24 hours support for tenants for any maintenance related requests and emergencies.

Ø Verification of quotations and material requests from the contractors and ensuring that the jobs are done as required. Coordinate the jobs with contractors as per tenant’s requirements.

Ø Preparation of snag reports, As requested by the maintenance manager / Vice President before taking over the property

Ø Regular follow ups made with contractors to ensure that all PPMs are carried out on time in order to create a trouble free environment in all our facilities.

Ø Negotiate with contractors to reduce the cost of chargeable spare parts and other variation jobs as per the current market rates.

Ø Conduct meetings once a month with the contractors’ respective supervisors at the property for joint inspection of the property assets and review the break down reports. Necessary suggestions are made for technical solutions in order to avoid the high failure rate of assets.

Ø To ensure that the quality of the spare parts used by contractors are as per the manufacturers’ recommendations, especially in all luxurious / VIP apartments and villas.

Ø Technical suggestions to Facilities managers for major modification of MEP assets due to non-availability of the spares and reduce failure rate, bearing in the mind the impact on cost.

Ø Review the drawings related to fit out works and conduct site survey to ensure contractor is carrying out the jobs as per approved terms and condition.

Ø Preparation of MEP asset registers while taking over the facility.

Ø Follow up with concern authorities to ensure that contractors are getting LPO on time for the variation jobs and chargeable spares.

Ø Verification of all invoices submitted by the contractor including site inspection to ensure job has been carried out as per quotation specification.

Ø Man power based services attendance monitoring (security, cleaning, life guard & gym instructor).

Ø Insurance claims document preparation for the asset damage compensation claims.

Ø Preparation of technical report about major break downs of the MEP assets in the facility.

Ø Yearly evaluation of the major MEP assets operation condition and recommend facilities manager for replacement.

Ø Evaluation of the contractor performance.

Ø To carry out check out inspection for vacating tenants and to impose deductions for damaged items. Co-ordinating with the maintenance contractor to prepare the unit for new lease without any delay.

Ø Assisting document controller in documentation works whenever requested.
