 Present a professional, welcoming first contact to all customers (internal and external), suppliers and staff, by phone, in person, and email.

 Provide support for Marketing/Communications and prepare communication material ( Intranet, email, PPT)

 Excellent time management skills

 Organizational and planning/problem solving skills

 Excellent written and verbal communication skills

 Ability to interact well with a variety of personalities and individuals at all levels

 Basic accounting skills and familiarity with financial statements

 Computer proficiency to include PC platforms and Microsoft Office

 Ability to handle and work well under pressure

 Be multi-task oriented and capable of prioritizing workloads to meet deadlines

 Ability to work independently with minimal supervision

 Customer service oriented

 Track and help manage ED calendar, assist with meeting set up, and other duties as assigned

 Assist with Board communications (mailings, meeting support, catering)

 Responsible for organizational functions and general meeting support: including arranging, follow up calls, maintaining office space schedules, securing food and supplies, copying + faxing

 Managing the Department heads Diary

 Monitor staff attendance and leave schedule

 Managing office supplies and stationary

 Managing, improving and updating office information systems including contacts databases and paper files

 Keep track of the department expenses as per the budget

 Keep track of the department work process maintains the calendar and schedule, including scheduling of appointments and meetings.

 Prepares correspondence, including confidential documents; prepares spreadsheets, organizational charts, mail-outs, etc.

 Maintains pending files and follows up on items due from other members of the department.

 Coordinates domestic and international travel.

 Prepares travel and entertainment expense envelops for approval.

 Reconciles and reallocates purchasing card charges.

 Tracks monthly expenditures on discretionary funds.

 Gathering MIS, preparing projects dashboard /updates and presentations
