Job Purpose:
- Enhances the Head of Department's effectiveness by providing information, management support; thus representing the Head of Department to others and the primary gatekeepers of the Head of Department’s office.
- Responsible on providing full range of executive services to the Head of Department in the day to day tasks and extend support and administrative advice to the team as a whole.
Accountabilities:
- Follow the day-to-day operations related to own job to ensure continuity of work
- Administer the day to day movement of the Head of Department’s office; ensure that a complete range of executive services are extended
- Maintains appointment schedule by planning and scheduling meetings, conferences, teleconferences, etc.; making sure that the Head of Department is on track with all meetings at the specified date and time with all the required documents
- Extend assistance to the department by providing administrative services; which include but not limited to drafting, editing correspondences, creating presentations, etc.; and contribute to team effort by accomplishing related results as needed
- Respond to correspondences/communications as directed by the Head of Department
- Act as custodian of relevant documented templates and records; secures information by completing data base backups
- Ensure upholding to highly confidential information among the executive level offices and in other departments as maintaining confidentiality of such information is a priority; thus, confidentiality must be maintained with telephone calls, e-mails, meetings, board meetings, etc.
