Job Purpose:As a key member of the Documentary Unit team, the Documentary Projects Specialist will contribute to the delivery of successful and efficient documentary services. This role will coordinate and develop the services to ensure efficiency and quality, develop excellent relationships with customers and seek opportunities to ensure that professional standards are maintained.

The documentary projects will occupy a big time of this department, customers will have to be charged for the services they request and so this specialist will be in charge of raising all MRs for the requests from Centers (under the SLA), and managing all payment due on centers for services carried out under Calls of Agreements. It is also very important to follow up on all budgetary matters and ensure that the payments are processed (transferred) in the right manner. This is a Full time job for handing the accounts from a financial perspective to ensure that the charge back is done correctly. Another important duty for this specialist is to ensure the high quality of the delivered services by the suppliers in accordance with the requirements drafted in coordination with the client and in alignment of the best practices and standards put in place by the department to be ingested in the Digital Asset Management system.

KEY RESULT AREASTo undertake the business implementation process of the documentary process, with particular responsibility for the following:

• Act as the focal point and liaison of communication for documentary services and requests and ensure that end-users are well aware of the needed information and their requests are processed in a timely and organized manner.

• Act in a leading role in all events within the scope of documentary needs by devising the requirements for both videography and photography to ensure that QF image is well portrayed.

• Coordinate and take charge of maintaining the reporting system as needed by the shared services and directorate requirements.

• Act as an advisor for all end-users within QF to provide the information as well as the way forward to make use of the assets ingested in the Digital Asset Management (DAM) System.

• Act as the principal trainer for new comers to QF DAM system to provide them with the needed information, conduct training and guide them to the right tutorials as necessary.

• Must actively participate and coordinate in the planning and analysis of to come up with the international standard requirements.

• Must oversee relevant stakeholders to ensure that all requirements for the project are properly documented, evaluated and appraised as appropriate.

• Manage issues effectively and by taking appropriate decisions and actions where these deviate from agreed tolerances.

• To be responsible for the successful service level agreement implementation and monitoring of delivery;

• Deliver high quality, efficient and cost effective services to meet the needs of the internal and external clients ensuring targets are met as a minimum.

• To manage and control budgets effectively, including traded services and third party contracts.
