Provide financial activities support to Budget and Contract division of the Executive Director’s Office, HSSE Executive Directorate. Responsibilities include input budget information, formulate daily and monthly reports, track revenue and expenses and invoice and monitor contracts. Manage confidential information. Perform other miscellaneous duties as assigned.



Key Result Areas:

• Provide assistance to Senior Budget and Contract Specialist to coordinate with departments within HSSE Executive Directorate in the budget and business plan exercise for Directorate

• Review operating budget requests for technical accuracy and compliance with approved guidelines

• Monitor and report on budget performance monthly or as needed

• Coordinates cost and budget activities within HSSE departments

• Prepares reports for department directorates with HSSE Executive Directorate

• Responsible for processing the cost and actual expenses against the approved budget and designated account

• Manage and monitor the HSSE Directorate invoice payment process

• Maintain all financial databases for the HSSE Directorate to include but not limited to call-off agreements, invoices and contracts.

• Manage petty cash process and maintain database of expenses

• Monitor contract utilization to ensure the contracts are within the contract value

• Coordinate all budget matters related to HSSE wherein duties will include checking funds for HSSE and following up on authorizations

• Manage and verify funding allocations for each department

• Assists in the preparation of financial reports and presentations, as needed

• Maintain and update a comprehensive filing system in the department

• Maintain complete confidentiality in all aspects of the department’s financial activities. Exercises utmost care in safeguarding vital and legal documents, regarding department projects, business plan, and budget, contracts and staff reports

• Coordinate with procurement directorate in the execution of contractual work

• Ensure contract services are being delivered as per the contract terms and conditions

• Assist in the preparation of annual budget and prepare budget changes

• Document performance of individual contractors making recommendations, as needed

• Carry out financial document processes through use of the ERP system
