Reporting and Communication
• Maintain excellent levels of communication and collaboration with other QM departments, museums, business units and members of the QM Executive Committee (ExCo) and Senior Management Team (SMT)
• Work proactively to build and maintain strong relationships with external stakeholders, partners and suppliers
• “Meet and greet” visitors to the department and handle telephone enquiries
• Prepare reports and other documents as directed by Director of Creative Design or other senior staff
• Ensure that confidentiality is maintained at all times
Administrative Activities
• Maintain filing system (of both hard- and soft-copy documentation) and keep record of all correspondence (internal and external)
• Schedule appointments and organise meetings
• Provide clerical support to Director of Creative Design - preparing documents, printing, copying, scanning etc.
• Facilitate delivery of various documents to other QM departments, maintaining receipts etc.
• Organise all courier/document delivery/receipt activities
• Maintain supplies of Director of Creative Design office stationery and related inventory
• Carry out other administrative duties as directed
